September 1, 2021: Stop Pay and Reissue Escrow Refund Check Procedure Update

An updated procedure to Stop an Escrow Refund Check (Active or PIF Loan) has been published in KnowledgeOwl for Retained Servicing.  This procedure specifies the steps to follow if the stop-pay and reissue request is for an active loan which requires two tasks to be opened, or for a paid in full loan which requires one task to be opened.

Stop an Escrow Refund Check (Active or PIF Loan)

The process to request a stop pay and reissue of funds for escrow analysis overage refunds depends on the status of the loan. 

If the loan is ACTIVE, complete the following steps:

Navigate to P309 

  • Confirm dollar amount of the check
  • Confirm the check number
    • Locate the check number by navigating to the lower right corner P309 and change the “P” to “S4”
    • Transaction type (this will help to determine why we sent the check or the department that initiated the check)

Navigate to TSK1

Open the following two tasks with the information gathered from the P309 screen and document in the task notes for the Cashiering Department to re-issue funds:

  •  CHHSTP – Stop Check Disbursement
  • ANAOVR - Escrow Overage Deposited, Please Disburse

Note: Both tasks MUST be opened to complete request for the overage check to be re-disbursed. 

If the loan is PAID IN FULL (PIF), complete the following steps:

Navigate to P309 

  • Confirm dollar amount of the check
  • Confirm the check number
    • Locate the check number by navigating to the lower right corner P309 and change the “P” to “S4”
    • Transaction type (this will help to determine why we sent the check or the department that initiated the check)

Navigate to TSK1

Open the following task with the information gathered from the P309 screen and document in the task notes for the Cashiering Department to re-issue funds:

  •  CHHSTP – Stop Check Disbursement

If customers advise the address is incorrect, update mailing address using the Updating Mailing Addressprocedure and open the appropriate task(s) depending  on the loan status. 

  • If check was mailed to correct address:
    • If less than 7 Business Days since check mailed - Advise customer to wait for sufficient mail time to receive.
    • If greater than 7 Business Days since check mailed - Advise customer a Stop Payment Request will be submitted for the check.  Note: If this original check is received before the new reissued check arrives in their mail, the original check is no longer be valid and cannot be cashed or deposited.
